For any question about your data, write to help@softberry.digital. We have not appointed a data protection officer, as our activity does not require one.
What data we process and where it comes from
We receive data directly from you. We do not buy lists or collect data from other sources.
- When you write or call: your name, email, phone, company and what you tell us.
- When you book a call: your name, email, the date and time you choose and anything you note in the booking form. Booking runs through Cal.com.
- When you visit the site: technical data the server logs automatically: IP address, browser type, the page requested and the time.
- If you become a client: the contact details of the people we work with, the details needed for invoicing and, if you get access to our portal, your account details.
We do not process special categories of data and we do not use data for automated decisions or profiling.
Why, and on what legal basis

You are not obliged to give us any data. Without it, however, we cannot answer you, hold the call or work together.
How long we keep data
- Messages and contact details of people who do not become clients: 2 years from the last contact.
- Client data: for the duration of the engagement, then as long as the law requires for contracts and accounting records.
- Server access logs: at most 6 months.
Who we share data with
We do not sell data. We share it only with providers who help us work, under contract, and with authorities when the law requires it:
- Odoo S.A. (Belgium), through odoo.sh: hosting of the site and of our system, on servers in Europe.
- Zoho: our email service.
- Cal.com, Inc. (USA): call booking, only if you choose to book one.
- Our accountant, for client invoicing data.
Transfers outside the European Economic Area
When you book a call, your data reaches Cal.com, in the USA. The transfer relies on the EU US Data Privacy Framework or on the standard contractual clauses approved by the European Commission. All other data stays in the European Economic Area.
Your rights
You have the right of access, rectification, erasure, restriction of processing, portability, and the right to object to processing based on legitimate interest. Write to help@softberry.digital and we answer within one month.
You can file a complaint with the Romanian data protection authority (ANSPDCP), B-dul G-ral. Gheorghe Magheru 28-30, Bucharest, dataprotection.ro.
Security
Data lives in our Odoo system, accessible only to the people on the team who need it, and travels encrypted over HTTPS.
Changes
When we change this policy, we update the date above. For important changes we tell clients directly.
